Job Description:
The Office Assistant is responsible for receiving and directing visitors, vendors, and clients to appropriate locations and meetings.
Notifies personnel of visitor arrival.
May operate a single or multi-line telephone system.
Position Duties/
Responsibilities:
Answering, assisting, and directing all incoming telephone calls to appropriate parties in a professional and courteous manner Performing related clerical work such as typing, filing, and sorting mail distribution Using applicable software programs to create office supply inventories, letters, and other business-related documents Preparing shipping labels and ordering FedEx and UPS pickups and deliveries Reserving and ensuring conference rooms are organized and tidy May coordinate travel arrangements and process firm bills for approval/payment Providing administrative support when needed Managing and ordering office supplies including food, water, paper goods, coffee.
May coordinate businesses lunches and other related duties.
Managing all software licensing Keeping an inventory of all company electronic assets Provide staff with training on how to use hardware, software, and cloud-based services.
Other functions as directed by management.
Qualifications:
Two (2)
years of reception experience (or equivalent customer related ability) Prior administrative office management experience Proficient in all Microsoft Products, specifically Excel and Word Excellent oral and written communication skills Excellent customer relationship skills Physical Requirements:
Must be able to sit at a desk for prolonged periods of time Extended amounts of time at a workstation utilizing equipment such as computer monitors, keyboard, telephone, etc.
Must be able to lift-up to 15 pounds at times.

The check will bounce and the victim is left responsible.
